Case study

Trace a financial figure back to its source.

A Central Valley real estate and construction group. Projects, contracts and money tracked across workbooks, folders and inboxes.

Before

The answer was in a spreadsheet. Somewhere.

Each project had its own workbook. Questions about a deal or a budget meant opening files, asking around and hoping the copy was current.

What we built

Keep the files. Connect the record.

  1. Map where the information lives

We wrote a plain-English guide to the client's working files: where each one sits, what it is for, and what was still open.

  2. Extract and reuse workbook data

The pilot reads selected workbooks, keeps a dated copy of the extracted values and makes those values available for the pilot’s financial view.

  3. Every number names its source

Each figure carries the document it came from and how sure it is — a signed contract, a draft, or a spreadsheet estimate.

  4. Gaps stay visible

A missing number is shown as missing, with a note on what would fill it. Nothing is guessed to make a chart look complete.

Plain words

Four words tell the team where every file stands.

Cataloged
We know the file exists and where it lives.
Read
The system has opened it and kept a dated copy of what it says.
Compared
The system's reading has been checked against a person's reading.
Needs a decision
A person has to choose; the system will not.

Where it stands

Early real estate pilot.

The work connects financial figures to source documents while keeping qualifications and unresolved questions visible.

What the pilot covered — scope, not results

  • 3project folders in the first pilot
  • 4template files mapped
  • 26workbooks read
  • 46more files listed, saved for later

Scope, not results or sign-off: these counts describe the recorded pilot work. Instrument parsing and accounting integration remain unfinished.

A real source-to-financial-view example is under review. We won’t publish it until the evidence, redactions and disclosures are approved.

After

Ask a question. See the document behind the answer.

The pilot is designed to keep the source beside the figure. When records disagree or a qualification remains open, the system shows the gap and leaves the decision to a person.
